Privacy Policy

Eukosvit LLC (“Eukosvit,” “we,” “us,” or “our”) operates the IcePlan mobile application (“IcePlan” or “the App”) for iOS and Android. This policy explains what personal information we collect through the App, how we use it, and your rights regarding that information.

By creating an account or using the App, you agree to the practices described in this policy.

1. Information We Collect

We collect the following categories of personal information:

  • Account information — your name, email address, and password (stored as a one-way cryptographic hash; your actual password is never stored or accessible to us).
  • Role and membership — your role in the App (Team Organizer, Coach, Student, or Parent) and which team you belong to. Student accounts require an invitation code issued by a team organizer or coach before registration can be completed.
  • Schedule and lesson data — lesson dates, times, rink assignments, coach and student pairings, attendance records, off-ice session registrations, and team event registrations.
  • Communications — lesson notes and messages exchanged through the App between coaches, students, and team organizers.
  • Parent–child relationships — if you create a Parent account, we store the association between your account and the student account(s) you are linked to.
  • Device tokens — if you grant push notification permission, we store a device token provided by Apple (APNs) or Google (FCM) to deliver notifications to your device. Tokens are deleted when you log out.

2. How We Collect It

All information is provided directly by you or by your team’s organizer when setting up your account. We do not collect data passively through analytics SDKs, advertising networks, or device fingerprinting. The App uses no third-party analytics libraries.

3. How We Use Your Information

We use the information we collect solely to operate and improve IcePlan:

  • Authenticate you and maintain your session.
  • Display your personalized schedule, lessons, and team activities.
  • Deliver push notifications for lesson updates, cancellations, event registrations, and team announcements (if you have granted permission).
  • Enable communication between coaches and students within the App.
  • Allow team organizers to administer rosters, schedules, and attendance.
  • Improve reliability and fix bugs based on error logs (logs contain no personal identifiers beyond user ID).

We do not use your information for advertising, profiling, or any purpose unrelated to the operation of IcePlan.

4. Sharing and Disclosure

We do not sell, rent, or trade your personal information to any third party. We share information only in the following limited circumstances:

  • Push notification delivery — device tokens are transmitted to Google Firebase Cloud Messaging (FCM) and, for iOS devices, Apple Push Notification service (APNs) solely to deliver notifications you have requested. Google’s and Apple’s privacy policies govern their handling of these tokens.
  • Cloud infrastructure — the App’s backend runs on Render, a managed cloud hosting platform. Your data resides on servers operated by Render. Render does not access your data except as required to operate the infrastructure.
  • Legal requirements — we may disclose information if required by law, court order, or to protect the rights and safety of our users.

5. Children’s Privacy (COPPA)

IcePlan is a team management tool directed at sports organizations, coaches, and parents — not at children. Student accounts require an invitation code issued by a team organizer or coach before registration can be completed. IcePlan does not collect date of birth and does not verify the age of a student during registration.

Team organizers and coaches who issue invitations to minor athletes are responsible for ensuring that appropriate parental consent has been obtained before the minor completes registration, in accordance with the Children’s Online Privacy Protection Act (COPPA) and any other applicable law. Parents can link their account to a minor’s student account to view and manage the child’s schedule on their behalf.

If you believe a student account has been created for a child under 13 without appropriate parental consent, please contact us at [email protected] and we will promptly review and, if necessary, delete that account.

6. Push Notifications

IcePlan requests permission to send push notifications when you first launch the App. You may grant or deny this permission at any time through your device settings. If you deny or revoke permission, notifications will not be delivered and your device token will not be stored. Logging out of the App removes your device token from our servers.

7. Data Retention and Account Deletion

We retain your account and schedule data for as long as your account is active or as needed to operate the App.

You may delete your account at any time from within the App under Settings › Delete Account. Deletion is permanent and removes your personal information (name, email address, role, device tokens, and parent–child links) within 30 days. Historical lesson and session records are anonymized rather than deleted to preserve team scheduling records for other participants.

You may also request deletion by emailing [email protected]. We will process the request within 30 days, except where retention is required by law or legitimate business necessity.

Device tokens are deleted automatically when you log out. Error logs are retained for 90 days and do not contain personal identifiers beyond a user ID.

8. Data Security

All data transmitted between the App and our servers is encrypted in transit using TLS. Passwords are hashed using PBKDF2 with a per-user salt and are never stored in recoverable form. Access to production data is restricted to authorized personnel.

9. Your Rights

Depending on where you live, you may have the following rights regarding your personal information:

  • Access — request a copy of the personal data we hold about you.
  • Correction — request correction of inaccurate information.
  • Deletion — request deletion of your account and associated data.
  • Portability — request your data in a machine-readable format.
  • Objection — object to processing in certain circumstances.

These rights apply to users in the European Union (GDPR), United Kingdom (UK GDPR), and California (CCPA), and we extend them to all users regardless of location. To exercise any of these rights, email us at [email protected]. We will respond within 30 days.

We do not sell personal information, so there is no opt-out-of-sale right to exercise under the CCPA.

10. Geographic Availability

IcePlan is currently available in the United States only. The App is not offered or directed at users outside the United States. All data is stored and processed in the United States.

If geographic availability expands in the future, this policy will be updated to reflect applicable data protection requirements for those regions.

11. Changes to This Policy

If we make material changes to this policy, we will update the date above and, where required by law, notify you through the App or by email. Continued use of the App after a change takes effect constitutes acceptance of the revised policy.
